NCR job sheet pads for trades: what should they include?

A well-designed job sheet helps tradespeople record the work completed, materials used and any further action required while they are still on site.  Using an NCR job sheet pad creates an instant copy as the top sheet is completed. What information should an NCR job sheet include?

The exact layout will depend on your business, but most job sheets should include:

  • Company name, logo and contact details
  • Job or reference number
  • Date of the visit
  • Customer name and site address
  • Engineer or operative’s name
  • Arrival and completion times
  • Work requested and work completed
  • Materials or parts used
  • Additional work recommended
  • Customer signature and date

You may also need spaces for labour hours, mileage, purchase order numbers, equipment serial numbers or the next service date. Keep the form focused on the information your team genuinely needs, as too many boxes can make it harder to complete.

Duplicate or triplicate job sheets?

A duplicate NCR job sheet creates two copies, usually one for the customer and one for your office. A triplicate job sheet creates three copies and can be useful when accounts, a contractor, landlord or site manager also needs a copy.  Four-part forms are available for businesses with several departments or parties involved. Each sheet can be labelled clearly, such as Customer Copy, Office Copy and Accounts Copy.

Which size is best?

  • A4 NCR pads are usually the best choice for detailed job sheets, as they provide plenty of room for work descriptions, materials and signatures.
  • A5 NCR pads are more compact and suitable for shorter service visits or maintenance reports. A3 can be useful for detailed inspections or diagrams, while A6 is better suited to simple receipts and short records.

Choose the size based on how much information is normally handwritten. It is better to allow extra space than to make the form feel cramped.

Designing and finishing your NCR job sheets

Use clear headings, generous writing spaces and a logical layout. Tick boxes work well for common tasks, while larger blank areas should be provided for descriptions and notes. Avoid very small text, complicated designs and dark backgrounds, and ask the people who will use the forms to check that no important fields are missing.  Useful options include sequential numbering to make each job easier to track, reverse-side printing for terms, payment information or safety details, and two-hole or four-hole punching for filing.
