How to Prepare and Print Professional Certificates
Printed certificates are used by training providers, schools, colleges, universities, professional organisations, sports clubs and event organisers to recognise attendance, achievement, qualifications and awards.
Whether every certificate is identical or personalised with a different recipient’s name, preparing the artwork and information carefully helps ensure the finished certificates look professional and are ready on time.
Standard or personalised certificates?
The first decision is whether every printed certificate will be the same or whether each one will contain different information.
Standard certificates
Every certificate uses the same design and wording, with blank spaces left for names, dates, results or signatures to be added later.
This is a practical choice when certificates will be completed by hand, when recipient details are not yet confirmed or when spare certificates need to be kept for future courses and events.
Personalised certificates
Each certificate is prepared with the recipient’s name and any other individual details already included in the artwork.
This creates a polished result and avoids names having to be written onto the certificates after printing.

What should a certificate include?
The wording will depend on the organisation and purpose, but most certificates contain:

Keep the recipient’s name prominent and easy to read. Avoid filling every available space with logos, decorative borders or unnecessary wording.
Choosing the certificate size
A4 is the most common certificate size, but smaller or larger formats may suit particular presentations and awards.
420 × 297mm
Suitable for display certificates, major awards or designs containing several signatures and logos.
297 × 210mm
The standard choice for training, education, professional qualifications, attendance and achievement certificates.
210 × 148mm
A compact option for children’s awards, short workshops, competitions and informal recognition.
Certificates can be designed in portrait or landscape orientation. Landscape A4 is especially common because it provides good space for a name, title, logos and signatures.
Silk or uncoated card?
Coated silk card
Silk card has a smooth white surface with a slight finish. It gives photographs, logos, coloured backgrounds and decorative designs a clean, polished appearance.
It can be written on using a suitable biro or marker pen, but uncoated card is usually easier where certificates will be completed extensively by hand.
Uncoated card
Uncoated card has a natural paper-like finish. It is the best option when names, dates, grades or signatures will be added by hand.
It works well with a wide range of pens, including biro, marker and fountain pen.
Choosing the card thickness
A lighter card is suitable for everyday course and attendance certificates, particularly where larger quantities are required.
A heavier card creates a more substantial finish for awards, formal presentations and certificates that will be framed or displayed.

Standard or rounded corners?
Square corners provide the traditional certificate appearance and are suitable for formal qualifications, framed certificates and most educational or professional uses.
Rounded corners create a softer, more contemporary finish and can work particularly well for children’s awards, creative courses and informal events.
How should personalised certificates be supplied?
Supply all personalised certificates together as one combined PDF, with one completed certificate on each page.
Example
An order for 75 personalised certificates should normally be supplied as one 75-page PDF, with a different completed certificate on every page.
Keep every page the same size and orientation.
Check that the PDF page count matches the quantity ordered.
Remove duplicate certificates and any unused template pages.
Arrange the certificates in the order you would like them printed or distributed.
For standard certificates where every sheet is identical, supply a single-page PDF and enter the total number of copies required as the order quantity.
Check every personalised name carefully
Names are the most important variable information on personalised certificates.
First names and surnames are spelled correctly
Titles such as Dr, Professor or Reverend are correct
Capital letters and punctuation are consistent
Course names and qualifications are accurate
Dates and results are correct
Long names still fit comfortably within the design
Ask another person to compare the finished PDF against the original recipient list before uploading it. This can help identify missing names, duplicated pages and spelling mistakes.
Preparing the certificate artwork
Supply a press-quality PDF wherever possible.
Add 3mm bleed when borders, colour or background artwork prints to the edge.
Keep names, logos, signatures and important wording at least 4mm inside the finished edge.
Use high-resolution logos and avoid enlarging small web images.
Check that decorative borders are even and safely positioned on every side.

Production time begins once the proof has been approved. Do not approve the proof until the personalised information has been checked completely.
Should you order spare certificates?
It is sensible to include a few blank certificates for late additions, spelling corrections, damaged copies or recipients whose details were not confirmed before printing.
Blank certificates can use the same design but leave the recipient name, date or result empty so the details can be added later.

Certificates can be collected from our West Drayton print shop or sent by tracked UK delivery.
