How to print welcome signs and table plans for your wedding
A printed welcome sign creates a warm first impression as guests arrive, while a clear table plan helps everyone find their seat without confusion.
Both can be printed onto lightweight, rigid foamboard and displayed on an easel at your wedding venue.

The signs can share the same colours, fonts and decorative style, but they serve different purposes.

Choosing the right size
The best size will depend on the number of guests, the amount of wording and the available display space.
594 × 841mm
The most popular choice for larger table plans, detailed seating lists and prominent entrance signs.
420 × 594mm
Suitable for smaller weddings, simple table plans, welcome signs and order-of-the-day displays.
297 × 420mm
Best for compact signs, photographs, reserved notices or information displayed on a table.
A seating plan containing many tables and guest names will normally be easier to read at A1. Avoid reducing the text simply to fit everything onto a smaller board.
Foamboard and lamination
Wedding signs are printed onto lightweight 5mm foamboard, creating a rigid board that can stand on an easel or lean securely against a suitable surface.
Gloss lamination
A shiny, wipe-clean finish that makes colours and photographs appear brighter and more vibrant.
Matt lamination
A softer, non-reflective finish that works particularly well under venue lighting and when the sign will appear in photographs.
Foamboard is intended for indoor use. It should not be left outdoors or exposed to rain.

Wedding signs need to be attractive, but they must also be easy to read from a short distance.
Use large, clear headings

Editable wedding templates are available through services such as Canva and Etsy. Check that the template can be resized to the finished board dimensions before completing the design.
Check the seating plan carefully
Table plans often contain a large amount of personalised information, so allow time for a complete final check.

Ask another person to compare the final design against the confirmed guest list before placing the order.
Preparing the artwork
Create the artwork at the correct finished size.
Add 3mm bleed where colour, photographs or backgrounds print to the edge.
Keep names, headings and important details at least 4mm inside the finished edge.
Supply a press-quality PDF wherever possible.
Zoom in closely to check that photographs and decorative elements remain clear.
We can also accept high-quality JPEG, TIFF, Word, PowerPoint and Publisher files, although layouts may need checking or resizing before printing.
Displaying the board at your venue
Most wedding signs are displayed on a floor-standing easel near the venue entrance, reception area or dining room.
Ask the venue whether an easel is provided and confirm that it is large enough to support your chosen board size.
Position the table plan where guests can gather around it without blocking a doorway or narrow walkway.

Production normally takes one working day after the PDF proof has been approved.
Urgent same-day or next-working-day collection may be possible when suitable print-ready artwork is supplied.
